Privacy Policy
Last updated: 2026-10-10
This policy explains what information the Optix Medical Sync website and hospital app ("the service") collect and how it is used. Optix Medical Sync is a hospital management system: each hospital or clinic ("workspace") keeps its own patient and business records inside its own workspace.
Information we collect
- Sign-up details. When a hospital creates a workspace we keep the hospital name, workspace code, the administrator's name, username and email address, and a salted hash of the password. We never store passwords in plain text.
- Workspace records. Patients, appointments, billing, stock, staff, attached files and similar records are entered by the hospital's own staff. Each workspace has its own separate database file and uploads folder, and one workspace cannot reach another. The hospital decides what it stores, is responsible for the lawfulness of that data, and decides who on its staff can see it.
- Session data. After you sign in, a secure session cookie keeps you signed in. Signing out removes it. Your browser's local storage also keeps harmless preferences such as the workspace code you last used, and your advertising choice.
- Sign in or sign up with Google. If you choose Google, it is used only to verify your Gmail address and name. We receive that address and name, not your Google password, and nothing else from your Google account. Passwords stay optional for these accounts.
- Audit log. The workspace records who created, changed or deleted what, and sign-ins, with the user and the time, so the hospital can review activity.
- Messages you send us. If you email us, we keep the message and your address so that we can reply.
- Technical data. Our hosting provider and web server may process IP addresses and request information to deliver the service, limit abuse and keep it secure.
How we use it
We use this information to run the service, to sign you in, to send account emails such as invitations and password resets, to enforce plan limits, to keep the service secure and backed up, and to improve it. We do not sell personal information, and records inside a workspace are never used to choose advertisements.
Backups and security
Workspace databases are copied automatically to a backups folder every day and the last seven copies are kept. Access inside a workspace is controlled by role (Super Admin, Doctor, Receptionist, Accountant, Pharmacist) and is enforced on the server. Use the service over an encrypted (HTTPS) connection.
Advertising and cookies
The public pages of this website (the home page, this policy and the terms) may show advertisements served by Google AdSense. Google and its partners use cookies and similar technologies to serve ads based on your visits to this and other websites. Google's use of advertising cookies enables it and its partners to serve ads to you based on your visit to our site and other sites on the internet.
- Where we ask for your consent, you can choose to accept personalised ads or to see non-personalised ads only. You can change your choice at any time with the "Ad choices" link in the page footer.
- You can opt out of personalised advertising by visiting Google Ads Settings, or opt out of some third-party vendors' use of cookies for personalised advertising at aboutads.info.
- To learn how Google uses information from sites that use its services, see policies.google.com/technologies/partner-sites.
Ads are never shown inside the signed-in hospital app, the sign-in and sign-up screens, bills, receipts, reports or any page containing patient data. Nothing from Google is loaded until an advertising publisher account is configured and you have made a choice.
Your choices
You can sign out at any time, clear the website's data in your browser settings, and ask us to delete a message you sent us. Patients who want to see or correct their records should ask the hospital or clinic that holds them. Contact us at systems.optix@gmail.com.
Children
The website is intended for business users and is not directed at children.
